From completed work to a clear invoice

A freelance design invoice, worked through

Alex has finished a website refresh for Juniper Coffee Co. The agreed project price covers the core pages; extra revisions are billed hourly. The invoice separates those charges and gives the client a specific due date and payment reference.

Before you send it

Make it easy for your client to approve and pay.

Use the name and billing details your client expects. If an accounts team needs a purchase order or project code, include it in the notes or a custom field in the editor.

  1. Identify both sides

Add your business or trading name, contact details, and the client’s billing name and address. Include a tax identifier where needed.

  2. Give the invoice a reference

Use a unique invoice number, an issue date, and an exact due date. For repeat work, include the service period so this month’s invoice is easy to distinguish.

  3. Describe what you delivered

For a project, use quantity 1 with the agreed fee. For hourly work, use the hours worked and hourly rate. Name the deliverable rather than using a vague label such as ‘services’.

  4. Check the total and payment instructions

Review the currency, any discount, and applicable tax. Put the agreed payment method and reference in the payment terms, then check the preview before exporting.

Choose terms you have already agreed

The example uses Net 14: an October 1 issue date and an October 15 due date. Your agreement might call for payment on receipt or a different period. Write the exact due date as well as the term, and include practical instructions for making the payment.

Send the downloaded PDF through your usual client channel. Keep a copy and record payments separately; this tool does not follow up with clients for you.

Adapt it to your freelance work

Writers can list articles or editing hours. Developers can separate a build milestone from maintenance. Consultants can show sessions or a defined project scope. Keep descriptions tied to the deliverables your client approved.

The editor supports USD, EUR, GBP, CAD, and AUD, plus a logo, notes, custom fields, and five visual layouts. Use the appropriate tax treatment for your circumstances; a template cannot determine it for you.

Practical questions

Freelance invoice FAQ

Can I download this freelance invoice as a PDF?

Yes. Open the invoice editor, enter your own details, review the preview, and choose Download PDF. The editor is free, requires no account, and exports without a watermark. Edits to the example on this page are temporary and do not transfer to the editor.

Can I bill hourly work and a fixed project on the same invoice?

Yes. Use quantity 1 and the project fee for a fixed-price service. For hourly work, enter the hours as the quantity and your hourly rate as the rate. Describe the work and billing period so the client can check each charge.

Can I add a logo, tax, or a discount?

The invoice editor supports PNG and JPG logos, a tax percentage, and either a percentage or fixed discount. Discounts are applied before tax. Only add tax that applies to your work; the tool does not determine your tax obligations.

Will the tool send invoices or track payments?

No. Download the PDF and send it to your client yourself. The editor saves a draft locally in your browser, but it does not send invoices, collect payments, track payment status, or send automatic reminders.

How do I invoice a deposit or a project milestone?

Describe the deposit or completed milestone as its own line item and include the project reference in the notes. The editor does not have a dedicated deposit or balance-paid field. Keep a separate record of payments and make it clear which part of the project this invoice covers.

Ready to put your own name on it?
