What should an invoice include?

Requirements vary by country and industry, but a clear business invoice usually contains the following essentials:

  • Your legal or trading name and contact details
  • The customer’s name and billing address
  • A unique, sequential invoice number
  • Issue date, due date, and payment terms
  • An itemized description, quantity, rate, and amount
  • Subtotal, discounts, applicable tax, and total due

Invoice example

Imagine a designer completes a brand identity project and three hours of strategy consulting. The invoice lists each service separately, multiplies quantity by rate, applies any discount, then calculates tax on the discounted subtotal. The total clearly shows what the client needs to pay.

Example: INV-2026-014, issued September 25 and due October 9, with “Net 14” payment terms. Consistent numbering makes invoices easier to track and reconcile.

Invoice payment terms

Payment terms tell the client when and how to pay. “Due on receipt” requests immediate payment, while “Net 7,” “Net 14,” or “Net 30” provides that many calendar days after the issue date. Choose a realistic term, agree on it before work begins, and include payment instructions in your notes when needed.

Invoice numbering

Every invoice should have a unique identifier. A simple sequence such as INV-001, INV-002, and INV-003 works well. You can also include a year or client code, but keep the system predictable. Never reuse a number for a different transaction, even if an earlier invoice is canceled.

Common questions

Frequently asked questions

Is this invoice generator really free?

Yes. You can create, preview, and download a PDF invoice without registering, entering an email address, or adding a watermark.

What information should I include on an invoice?

Include a unique invoice number, issue and due dates, your business details, the client’s details, an itemized description of work, prices, taxes or discounts, the total due, and clear payment terms.

Can I add tax and a discount?

Yes. Add a percentage discount and tax rate. The discount is applied before tax, and every amount is calculated in minor currency units for consistent rounding.

Is my invoice information uploaded?

No server account is needed. The generator runs in your browser and saves a draft only in local storage on your device so you can recover it after a refresh.

Which currencies are supported?

The generator currently supports USD, EUR, GBP, CAD, and AUD. The invoice uses your selected currency consistently in the preview and PDF.
